Privacy Policy

1. Scope

This policy explains information handling on orthonotes.in, including accounts, educational content, paid access and connected tools. Read it with the Terms of Use and User Agreement. For privacy questions, contact support@orthonotes.in or harijith1@gmail.com.

2. Information used by the service

• Account and profile information, such as your name, username, email, professional details and information supplied through a sign-in provider.
• Material and interactions you submit, including posts, clinical cases, notes, annotations, AI prompts, searches, uploaded files, feedback and support messages.
• Learning progress, saved resources, feature usage, subscription and entitlement records.
• Order, billing and transaction information needed for purchases and support. Payments also involve the payment provider's own data handling and privacy terms.
• Technical and usage information, such as request logs, device/browser information, cookies and analytics events used for operation, security and understanding service usage.
• Policy acceptance records: your account identifier, timestamp, version, document fingerprint and copies of the document bodies you accepted.

3. Purposes

We use information to create and secure accounts, supply requested features and purchases, save progress, moderate content, respond to support requests, prevent abuse, maintain records of agreements, and meet legal obligations. Some features use analytics and external services. Any consent legally required for optional marketing or tracking must be handled separately; acknowledging this policy does not itself grant that consent. Newsletter subscription choices are separate from mandatory account terms.

4. Public content, private material and patient data

Profile information and content you choose to publish may be visible to other users and search engines. Personal notes and annotations are intended for the account's authorised access. Do not upload identifiable patient information or confidential material without the necessary lawful basis and permissions. You must anonymise clinical content and review attachments before submission. Deleting a public item cannot necessarily remove copies independently retained by others or search engines.

5. External services and disclosures

Hosting, authentication, email, analytics, payments, AI and evidence-search services may receive information needed for the features you use. For example, an external AI or evidence engine may receive the prompt or search you submit. Review the relevant provider's terms when interacting with an external service. Providers may process information in other countries, subject to applicable legal requirements. Information may also be disclosed where legally required or necessary to protect lawful rights and investigate abuse. Do not submit passwords, payment credentials or patient identifiers to search or AI tools.

6. Security and retention

We use reasonable safeguards appropriate to the service, but cannot promise absolute security or availability. Keep your credentials private and report suspected compromise. Information is retained as needed for the purposes described, account operation, legal requirements and resolving disputes, and is deleted or anonymised when no longer required, subject to legitimate retention requirements and backup processes. Acceptance records are retained for documenting the agreement while required for those purposes. Contact support about the retention or deletion of a specific record.

7. Requests and choices

You may use available account controls or contact support to request access, correction, deletion, account closure or information about processing, and to exercise other rights available under applicable law. We may need to verify your identity before responding. Where processing relies on consent, you may request its withdrawal; this does not affect processing already lawfully performed or retention required by law. Some requested features cannot operate without their necessary information. Cancelling a subscription and requesting deletion are separate actions; contact support if you need help with both.

8. Updates and contact

The displayed version and effective date identify this policy. We will present changed policy documents for acknowledgement before continued signed-in use. Acknowledgement records notice and does not replace any separate consent required by law.
